The biggest shift in the new diary isn’t just how it looks, it’s how much it can show you at once. Administrators can now see all their spaces across multiple floors, buildings, and even different properties, all in one unified scrollable view. No jumping between sites. No switching tabs. No separate reports to cross-reference. 

The redesigned header row keeps Property name, local timezone, and time slot all visible together so it’s always clear which building you’re looking at, in which timezone, at what time. And when your estate spans global offices, that single line of context eliminates the guesswork entirely.

The new filter panel lets you favorite the spaces and floor combinations you use most. Save a custom filter preset, say, London, Floor 2, All Meeting Rooms & Desks’ and it’s there every morning with one click. No more re-applying the same criteria from scratch each day. 

These preferences are per user. Each person on your team keeps their own saved view, entirely independent of what their colleagues have configured. The diary adapts to the person using it. t. 

My Bookings: Your Meetings, Instantly Highlighted 

A single click filters the entire diary to show only the bookings you own, the rooms you’ve reserved, the desks you’ve organized for others, the recurring meetings you’re responsible for. Toggle back to Home and the full organizational view returns instantly. There’s no faster way to manage your own schedule across a complex estate. eedback. 

From ‘Is It Free?’ to ‘It’s Booked’ – In Seconds 

The most common thing an administrator does in the diary is book a space. The new diary was designed so that every part of that journey is faster and more satisfying, fewer clicks, cleaner flows, and no disruptive popups pulling you away from the view you were in. 

Quick Book: Click the Slot, Create the Meeting 

See a free slot? Click it. The Quick Book panel opens immediately, right there on the diary. Enter the meeting details and confirm without ever leaving the page. For administrators who create dozens of bookings a day, this alone transforms the pace of their work. 

Every Action, One Click Away

The ellipsis menu on every booking card opens a context panel with every action available: Copy, Move, Recur, Cancel, Booking Summary etc. No navigating to a separate screen. No hunting through menus. The diary stays in focus, always. 

Booking Summary: Everything at a Glance, Nothing in the Way 

Click any booking and an inline summary panel slides open alongside the diary showing the full meeting details, attendees, resource configuration, and collaboration platform in use. No popup window. No page navigation. Just the detail you need, exactly where you are. 

Every Booking Card Tells the Full Story 

In the old diary, a booking was a colored block with a name. In the new diary, each card is a rich, information-dense tile that tells you exactly what’s happening in that room without you needing to click into it. 

At a glance, every card communicates: 
 

  • Collaboration platform in use – Microsoft Teams, Zoom, or Webex icon appears directly on the card. Your AV team always knows what’s running in each room 
  • Private or locked meetings – Clear iconography so administrators have full transparency without compromising confidentiality 
  • Combo Room awareness – A visual badge flags any resource that’s part of a combinable space. No separate configuration screen needed 
  • Resource visually displayed – Photos of your actual spaces sit alongside room names, so users recognize the boardroom from the quiet pod at a glance. 

Deploy When You’re Ready. Roll Out at Your Own Pace.

The new diary is available from V9.9 and delivered behind a feature flag. That means you control the timeline entirely. Run a pilot with a single team, gather feedback, then expand to the whole organization. 

During transition, both the classic and new diary can run simultaneously. When you’re ready to make the switch permanent, it’s a single toggle in Administration > Settings.
