Summary: Korbyt Booking now includes built-in visitor management software. Hosts can send guests a pre-registration link, reception checks them in with one QR code scan and prints a badge, and it all runs as a Progressive Web App on desktop, tablet, or mobile, with nothing for IT to install.

Your lobby is the first room every candidate, client, and partner walks into. If the first thing they meet is a clipboard, a long sign-in form on a shared tablet, or a line behind a jammed badge printer, that’s the impression they carry into the meeting.

Korbyt Booking now includes Visitor Management, a built-in visitor management system that handles meeting bookings and guests in one place. When a host adds a visitor to a meeting, or adds one directly, Korbyt can send a pre-registration invite automatically. By the time the visitor arrives, the front desk is already expecting them. One QR code scan checks them in on whatever device is at the desk and prints their badge, if your site uses badges.

Benefits of built-in visitor management

  • A better first impression. Fast, self-service check-in shows every guest that your workplace runs on current technology.
  • Less manual work at reception. Visitors register themselves, and a single scan checks them in.
  • Visitor records you can rely on. Every registration, badge, and check-in is logged and searchable, with no extra paperwork.
  • No rollout project. It runs as a Progressive Web App that opens from a link, so IT has nothing to deploy or manage.
  • Built to scale. Configure it per location, whether you run one lobby or a hundred.

How visitor pre-registration works

Whether a host adds a visitor to a meeting booking or adds them directly without a booking, Korbyt can automatically send a pre-registration invite. The invite is a simple link the visitor opens in any browser. The visitor enters their own details, chooses a visitor type, and confirms when they expect to arrive.

  • Admins control whether pre-registration links are on and can require email validation for external attendees.
  • When the visit is tied to a booking, the expected arrival time comes straight from the meeting. Otherwise, the host enters it once when adding the visitor.
  • Once registered, the visitor gets a confirmation and a QR code to scan when they arrive.

QR code check-in and visitor badges

Reception works from one streamlined screen designed around a simple rule: fewer clicks, clearer information. Scan a visitor’s QR code and their details appear instantly, and their badge prints if badges are on, so nobody has to type or search.

  • Add a visitor in a single flow. If the host isn’t in the system yet, add them without leaving the page.
  • See every expected and checked-in visitor on one screen, and export the list to PDF or CSV whenever security or facilities needs a record.
  • Print portrait lanyard badges showing the visitor’s name, company, host, meeting title, and a scannable QR code.
  • Reprint any badge from the visitor’s record in one click.
  • Admins can turn badge printing on or off, so sites that don’t use badges can still run the same check-in flow.

Runs on the devices you already have: desktop, tablet, and mobile

Visitor Management runs as a Progressive Web App. It opens from a link and works like an installed app, without an app store or device management, and it adapts to the screen in front of it.

  • Desktop: the full dashboard for your main reception workstation.
  • iPad and tablets: portrait or landscape, ideal for a self-service kiosk or a security officer on the floor.
  • Mobile: the same core tools for staff checking people in on the move.

Because it’s delivered as a link, every device at a site runs the same version, with no per-device updates.

One system for meeting booking and visitor management

Because Visitor Management sits inside Korbyt Booking, reception sees each visitor alongside the meeting they’re attending, and visitors added outside a booking go through the same invite and check-in flow. There’s nothing to integrate, and reception has one tool to learn. Booking also connects with Korbyt Service Tracker, so visit-related requests, such as catering or room setup, are tracked in the same place.
