Meet ConciergeAI: AI Room & Desk Booking in One Message

AI room and desk booking for Microsoft Teams and Outlook. No tutorial required.

Booking a desk should not require a tutorial. For years, workplace software gave administrators more power and employees more steps: filter panels, floor maps, and the discovery that the room was taken only after you walked to it.

ConciergeAI is a specialist booking agent inside Korbyt Anywhere. Employees type what they need in Microsoft Teams, Outlook or the web app, and the booking is done. One message. No filter panel, no floor navigation, no guesswork.

The difference: it enforces your rules first.

Most AI booking shows you options, then fails when you try to book. ConciergeAI works the other way. It applies every booking rule (advance windows, access controls, after-hours restrictions) before it offers a single option, so it never proposes a space it cannot actually book. It does not guess, and it does not fail silently. It just books the right space.

Why room and desk booking is harder than it should be

In a multi-location enterprise, finding a free room means too many clicks, endless scrolling and filters that reset every morning. Employees give up and double-book, or stop booking at all, and leaders lose any real view of how space is used. The friction is the problem, and it is exactly what ConciergeAI removes.

What ConciergeAI does: AI space booking in one message

Nine capabilities, one conversation: .

Desk booking

“Book me a quiet desk in London on Friday from 9 to 5.” It applies your location preferences and availability and returns the best match, including favorite and previously used desks.

Room booking

“Room for 8 with a screen and video conferencing, 7th floor, Friday at 2pm.” It filters in real time, and if a request cannot be met, it says so clearly.

Smart query handling

Desk or room? It reads the intent, makes the call, and tells you what it picked. One correction switches context with no restart.

Conversational editing

After it presents a space, adjust the date, time or resource inline. Browse more options, pick a different floor, confirm when it is right.

Modify and cancel

“Move my Tuesday room to Wednesday.” It identifies the booking, shows the change, and applies it on confirmation, with an instant diary update.

Resource details

Photos, attributes, features and notes surface inside the conversation, so people choose well without leaving it.

Booking rules engine

Every rule (advance windows, duration limits, access controls, after-hours) is applied before an option is shown.

Single sign-on

It authenticates through your existing SSO in Teams and Outlook. Employees sign in once, the way they always do.

Find a colleague

Book a desk next to the people you are meeting. “Book me a desk near Maria on Thursday” and ConciergeAI finds an available space beside her.

Where it works: Microsoft Teams, Outlook and the web

Microsoft Teams, Microsoft Outlook and the Korbyt web app. Employees stay in the tools they already use, on one Microsoft account, with zero extra logins.

Built for the enterprise

ConciergeAI reads your existing resources, floors, availability and booking rules from day one. Administrators enable it in Admin Settings > ConciergeAI and choose which interfaces to activate. There are no new infrastructure and no extra Microsoft permissions.

It is the booking specialist in Korbyt’s 5C^AI family, part of the unified Korbyt Anywhere platform.

  • SOC 2 Type II certified and 99.5% uptime
  • 75+ integrations and 40+ years of enterprise experience
